Deadline
The deadline to submit Food Vendor applications to the Sioux Falls Festival is August 1, 2025.
Space is limited and there is no guarantee that space will still be available by the deadline submission date, so we suggest submitting your application asap. Furthermore, an application received prior to the deadline does not guarantee acceptance. Please see next section.
Acceptance
Food Vendor understands that acceptance of this Application is within the sole discretion of LifeLight. Further, in the event LifeLight accepts the Application, Food Vendor shall be bound by the terms stated herein. In the event this Application is not accepted by LifeLight, Food Vendor will not be bound by the terms stated herein. Notification of acceptance of Application shall be made via email by LifeLight up to forty-five (45) days after submitted application. LifeLight reserves the right to refuse any Food Vendor applications including applications that do not meet the standards set for the Festival.
Site Fee
Food Vendor shall pay a fee for each Space requested above in accordance with the terms stated herein. Space fee will be paid upon application approval (vendor will be notified by email with a payment link).
The Site Fees are not a deposit nor is any portion thereof to be refunded to Food Vendor once the Application is accepted by LifeLight.
If Food Vendor is accepted, the space assigned and all fees previously paid will be forfeited as liquidated damages if the space is not occupied by 10:00 AM at the festival site on Sun., Aug. 31, 2025.
Requirements
Food Vendor is required to have a valid food service license from the South Dakota Department of Health and any and all licenses and permits required by the City of Sioux Falls. If you don’t have one, you may view the temporary vendor requirements online at www.state.sd.us/doh/forms/tempfood.pdf or call (605) 773-3364.
Food Vendor agrees to adhere to all safety regulations required by the State of South Dakota and City of Sioux Falls and all governing parties pertaining to Food Vendors. Please find all those regulations on our local government's website and read through all material carefully.
Food Vendor is required to provide own generator(s), power supply, and/or ice and water supply as needed.
Food Vendors MUST post prices for all food and drink items in an area that allows customers to know the cost of what they are purchasing.
Insurance Certificate Requirement
Food Vendor is required to furnish a current, valid Certificate of Insurance while operating their business at the LifeLight Festival.
Sales Tax
Food Vendor hereby agrees to collect any and all applicable taxes and agrees that LifeLight does not accept or assume any responsibility for state, local, and/or federal taxes required, or the collection of those taxes. Sales tax are approximately between 7-9%, payable to the State of South Dakota. LifeLight will email the form sometime before the festival and then Food Vendor is solely responsible for submitting the form and payment to the State of South Dakota Department of Revenue.
Set Up
Food Vendor sites are assigned and all Vendors MUST check in with the Food Vendor Coordinator upon arrival at the venue to set up. The Check-In location, Food Vendor sites, site map, and load-in & load-out site maps will be available via email approximately 2 weeks prior to event and a site map will be available on-site on event day. Set up time for Food Vendors is Sunday, Aug. 31 from 7:00-10:00am. Our Food Vendor Coordinator will work with you as time gets closer to determine an arrival time for you. You are required to bring your own power source, water supply, structure, furniture, and lighting for all your Food Vendor operations.
Nothing can be staked into the ground at the Food Vendor site, so if you have canopy tents or similar items please bring adequate weights to secure the item. Non-secured items will be asked to be taken down, for the safety of all attedees.
Food Vendor site will have vehicle accessibility for load-in and load-out only. After load-in, vehicle must be moved. NO PARKING WILL BE ALLOWED AT VENDOR SITE or IN ANY FIRE LANE OR ON FAIRFAX AVE. LifeLight will email you closer to the event to let you know what nearby lots are available for Vendor vehicles. LifeLight cannot guarantee adjacent parking, but we will do our best.
Food Vendors MUST keep their sales area clear of empty boxes and trash (crush your boxes) and have adequate garbage containers. Storage work areas behind booths must be kept orderly.
All buildings, tents, signs, or enclosures put up under the terms of this agreement must have the approval of LifeLight. Please do your best to not create tripping hazards with any of your items and maintain an ADA area. No loud speaker, amplifier, radio, or other sound device can be used at the Food Vendor’s site without the consent of LifeLight.
Unfortunately, Wi-Fi will not be available at the festival site. LifeLight recommends individual hot-spots.
Site Hours
Sunday, August 31, 2025 12:00pm-10:00pm
All Food Vendor booths MUST be open and staffed during these hours unless otherwise approved by LifeLight. The LifeLight Festival will begin at Noon and the main stage activity will end between 9:30pm and 10:00pm. Food Vendors will NOT be able to move trucks or trailers until the festival ends and the majority of festival attendees have left the grounds. The road cannot be opened to vehicles while festival attendees are still leaving the grounds. This is a requirement from the Sioux Falls PD and Parks and Rec Department.
Food Vendor agrees to not take down or remove sales exhibits during the festival, unless otherwise approved by LifeLight. However, even if Food Vendor is given permission to take down or remove sales exhibit early, NO vehicles will be allowed to be driven in food vendor area or any of the roads leading in and out of the festival grounds until the closing of the festival and the majority of festival attendees have left the premises, per the SFPD and Parks and Rec Department.
LifeLight Discretion
Food Vendor hereby agrees to submit to the management and control of LifeLight. Food Vendor acknowledges its understanding that LifeLight is a Christian ministry that is committed to bring glory to God in all our actions. As a Christian non-profit ministry, LifeLight reserves the right to make selections of Food Vendors and their merchandise consistent with LifeLight’s mission and objectives. LifeLight also reserves the right to ask for the removal of any product that is not consistent with said mission and objectives. LifeLight also reserves the right to close any Food Vendor site for any safety, product, or service quality issues. LifeLight reserves the right to grant to any Food Vendor the exclusive rights to distribute and/or sell any product during the festival.
Food Vendor agrees that any representative of LifeLight staff that oversees the Vendor booths shall have free access to said premises at all times.
Vendor Risk
Food Vendor hereby agrees that all personal property, supplies, equipment, product, and merchandise in or around the Food Vendor area and Food Vendor vehicle parking lots/spaces shall be on site at its own sole risk and hazard. Food Vendor hereby agrees to indemnify and hold LifeLight harmless from any and all claims, cause of action, suits or demands for liability, damage, loss, expense arising from any injury to persons or property which may occur in relation or connection to Food Vendor’s, its agents, representatives, employees, guests, customers, activities, acts, actions, failures or omissions in relation to the Festival at any time before, during, or after the same.
Food Vendor acknowledges that LifeLight has informed them that the Sites are not secure facilities and that LifeLight does not guarantee the security or safety of Food Vendor’s property, assets or sales receipts, and Food Vendor hereby agrees to accept full responsibility for the same. LifeLight will provide volunteer and paid Festival Security who can be notified if a safety issue arises and it will be Festival Security's discretion whether local police need to be notified, however Food Vendor can call upon the Sioux Falls Police for any emergencies or safety issues at their own discretion.
Tear Down
Food Vendors may begin tearing down their booths Sunday, August 31 at 10:00pm. However, no vehicles will be allowed on festival grounds, in the area around the Food Vendor space, until Festival Security has opened Fairfax. When Festival Security decides to open Fairfax following the end of the festival will be determined by the amount of attendees still leaving the grounds. Food Vendor will comply with Festival Security's decision and understands that this is a request by the SFPD and Parks and Rec Department.
All Food Vendor product, furnishings, and garbage must be removed from the festival grounds by midnight.
