Deadline
The deadline to submit Retail Vendor applications to the Sioux Falls Festival is August 1, 2025.
Space is limited and there is no guarantee that space will still be available by the deadline submission date. Furthermore, an application received prior to the deadline does not guarantee acceptance. Please see next section.
Acceptance
Retail Vendor understands that acceptance of this Application is within the sole discretion of LifeLight. Further, in the event LifeLight accepts the Application, Retail Vendor shall be bound by the terms stated herein. In the event this Application is not accepted by LifeLight, Retail Vendor will not be bound by the terms stated herein. Notification of acceptance of Application shall be made via email by LifeLight up to forty-five (45) days after submitted application. LifeLight reserves the right to refuse any Retail Vendor applications including applications that do not meet the standards set for the Festival.
Site Fee
Retail Vendor shall pay a fee for each Space requested above in accordance with the terms stated herein. Space fee will be paid upon application approval (vendor will be notified by email with a payment link).
The Site Fees are not a deposit nor is any portion thereof to be refunded to Retail Vendor once the Application is accepted by LifeLight.
If Retail Vendor is accepted, the space assigned and all fees previously paid will be forfeited as liquidated damages if the space is not occupied by 10:30 AM, Sun., Aug. 31, 2025.
Requirements
Retail Vendor agrees to adhere to all safety regulations required by the State of South Dakota and City of Sioux Falls and all governing parties pertaining to Retail Vendors. Please find all those regulations on our local government's website and read through all material carefully.
LifeLight will provide power to the Retail Vendor area. Retail Vendor needs to provide their own extension cords. LifeLight cannot guarantee how close Retail Vendor will be to power supply, so come prepared. If Retail Vendor plans on using lighting, LifeLight suggests using battery operated lighting, so the power supply isn't overloaded.
Unfortunately, Wi-Fi will not be available at the festival site. LifeLight recommends individual hot-spots.
Sales Tax
Retail Vendor hereby agrees to collect any and all applicable taxes and agrees that LifeLight does not accept or assume any responsibility for state, local, and/or federal taxes required, or the collection of those taxes. Sales tax are approximately between 7-9%, payable to the State of South Dakota. LifeLight will email the Department of Revenue form to vendor sometime before the festival. Retail Vendor is solely responsible for submitting the form and payment to the State of South Dakota Department of Revenue.
Set Up
Retail Vendor sites are assigned and all Vendors MUST check in with the Retail Vendor Coordinator upon arrival at the venue to set up. The Check-In location, Retail Vendor sites, load-in & loud-out site map and festival site map will be available via email approximately 2 weeks prior to event and a site map will be available on-site on event day. Set up time for Retail Vendors is Sunday, Aug. 31 from 7:00-10:30am. Our Retail Vendor Coordinator will work with you as time gets closer to determine an arrival time for you. You are required to bring your own extension cords, structure (tent), furniture (tables & chairs), and lighting for all your Retail Vendor operations.
Stakes will not be allowed, so any canopies or items that need to be secured, must be done so with weights provided by Retail Vendor. Any non-secured items may be asked to be taken down for the safety of festival attendees.
Retail Vendor site will have vehicle accessibility for load-in and load-out only. After load-in, vehicle must be moved. NO PARKING WILL BE ALLOWED AT VENDOR SITE or IN ANY FIRE LANE OR ON FAIRFAX AVE. LifeLight will email Retail Vendor with parking lot/space options sometime before the festival. LifeLight cannot guarantee adjacent parking, but we will do our best.
Retail Vendors MUST keep their sales area clear of empty boxes and trash (crush your boxes) and have adequate garbage containers.
All tents, signs, or enclosures put up under the terms of this agreement must have the approval of LifeLight. Please do not create tripping hazards with any of your items and please maintain an ADA area surrounding your site. No loud speaker, amplifier, radio, or other sound device can be used at the Retail Vendor’s site without the consent of LifeLight.
Site Hours
Sunday, Aug. 31, 2025 12:00pm-10:00pm
All Retail Vendor booths MUST be open and staffed during these hours unless otherwise approved by LifeLight. The LifeLight Festival will begin at Noon and the main stage activity will end between 9:30pm and 10:00pm. Retail Vendor will not be able to load out with vehicles until the festival ends, the majority of festival attendees have left the grounds, and the Security Team has opened Fairfax, per requirement by the SFPD and Parks and Rec Department. The decision of when to open Fairfax at the end of the night will come from LifeLight's Security Team and/or the SFPD ONLY and Retail Vendor agrees to comply with their decision.
Retail Vendor agrees to not take down or remove sales exhibits during the festival, unless otherwise approved by LifeLight. However, even if Retail Vendor receives permission to take down or remove sales exhibits early, NO vehicles will be allowed to be driven in or out of vendor area or on S. Fairfax Ave. until the vendor area and road has been officially opened to vehicles by Festival Security or the SFPD.
LifeLight Discretion
Retail Vendor hereby agrees to submit to the management and control of LifeLight. Vendor acknowledges its understanding that LifeLight is a Christian ministry that is committed to bring glory to God in all our actions. As a Christian non-profit ministry, LifeLight reserves the right to make selections of Vendors and their merchandise consistent with LifeLight’s mission and objectives. LifeLight reserves the right to ask for the removal of any product that is not consistent with said mission and objectives (such as, but not limited to, references to drugs and alcohol, disrespectful political images or verbage, political images, verbage, or stances not backed by Biblical standards, lude or sexually suggestive material, any world religion, anti-religion, cult, or astrology images or verbage that is not backed by Christian beliefs or Biblical standards). LifeLight also reserves the right to close any Vendor site for any safety, product, or service quality issues. LifeLight reserves the right to grant to any Vendor the exclusive rights to distribute and/or sell any product during the festival.
Retail Vendor agrees that any representative of LifeLight staff that oversees the Vendor booths shall have free access to said premises at all times and if Retail Vendor is asked to remove certain items, shut down for reasons stated above, or other request, Retail Vendor will comply.
Vendor Risk
Retail Vendor hereby agrees that all personal property, supplies, equipment, product, and merchandise in or around the Vendor area and designated parking lots/spaces shall be on site at its own sole risk and hazard. Vendor hereby agrees to indemnify and hold LifeLight harmless from any and all claims, cause of action, suits or demands for liability, damage, loss, expense arising from any injury to persons or property which may occur in relation or connection to Vendor’s, its agents, representatives, employees, guests, customers, activities, acts, actions, failures or omissions in relation to the Festival at any time before, during, or after the same.
Vendor acknowledges that LifeLight has informed them that the Sites are not secure facilities and that LifeLight does not guarantee the security or safety of Vendor’s property, assets or sales receipts, and Vendor hereby agrees to accept full responsibility for the same. LifeLight will provide volunteer and paid Festival Security who can be notified if a safety issue arises and it will be Festival Security's discretion whether local police need to be notified, however Vendor can call upon the Sioux Falls Police for any emergencies or safety issues at their own discretion.
Tear Down
Retail Vendors may begin tearing down their booths Sunday, Aug. 31 at 10:00pm. However, no vehicles will be allowed on festival grounds, in the area around the Vendor space, until Festival Security or the SFPD has opened Fairfax. When Festival Security or SFPD decides to open Fairfax, following the end of the festival, will be determined by the amount of attendees still leaving the grounds. Vendor will comply with Festival Security or SFPD's decision.
All Retail Vendor product, furnishings, and garbage must be removed from the festival grounds by midnight.
